Requirements

IMPORTANT - All signers must demonstrate their willingness to sign the documents without coercion. They must also be aware of what they are signing and understand the significance of the transaction. No document may be notarized if there is any cognitive impairment made aware or evident to the notary at the time of the signing.

The notarization must happen physically within Florida.

The following listed items are acceptable forms of ID to use for your notary services.
  • State Issued Drivers License
  • State Issued Identification Card
  • US Military ID Card
  • US Issued Passport
  • Foreign Issued Passport (Must be stamped by US Bureau of Citizenship and Immigration Services)
  • ID Issued by the US Bureau of Citizenship and Immigration Services (Permanent Resident Card a.k.a. "Green Card") State Issued Inmate Card
  • Sworn written statement from a law enforcement officer for an inmate in confinement in which the prisoners ID was confiscated upon confinement
  • Credible Witness Statement*

*Credible Witness - A "Credible Witness" alternative requires the sworn, written statement of one witness who is personally known to the notary, OR two witnesses who can provide identification, & who can answer positively that the person appearing before the notary is the person described in and who is executing the document. Note: The Witness(es) cannot have a financial or beneficial interest in the document.

For Remote Online Notary (R.O.N.) sessions please make sure you are using a Laptop, Desktop or Tablet with audio & video capabilities; cell phones are not permitted to be used for our online sessions. Also, please make sure that the Zoom meetings platform is installed on the device you will be utilizing for the session prior to the meeting. We suggest logging onto the platform approx. 5 minutes before the scheduled meeting time & test your audio & visual settings to make sure everything is in proper working order.

Fees

In Florida, standard notary fees are capped at $10 per signature/act for most services like acknowledgments, oaths, and certified copies, but notaries can charge $30 for performing marriage ceremonies, and up to $25 for online (RON) acts. Separate, reasonable travel fees can be charged if disclosed upfront, but they aren't considered part of the official notarial fee, which must align with state law to avoid suspension.
Standard Notarial Fees (Max $10 per act/signature):
  • Acknowledgments: $10
  • Oaths/Affirmations: $10
  • Jurats (Witnessing Signatures): $10
  • Certified Copies: $10 per copy
  • Verifying VINs: $10
Specialized Fees:
  • Marriage Ceremonies: Up to $30.
  • Remote Online Notarization (RON): Up to $25 per act, in addition to any tech provider fees.
Important Considerations:
  • Travel Fees: Notaries can add reasonable travel fees, but these must be billed separately and disclosed to the signer before the service.
  • Mobile Fees: Extra charges for convenience (e.g., hospital visits, late hours) are common but must be clearly itemized and agreed upon.
  • Consequences: Charging more than the allowed fees is a violation and can lead to suspension of your commission.
  • Transparency: Always make fees clear to the client beforehand.
